One job, start to finish

A one-bedroom move, every message and every document, in the order it happened.

The tools page says AI runs our front office. This is what that looks like on one ordinary job: a one-bedroom apartment, Kingston to Hudson, August 2026, two movers, hourly. Below is the whole paper trail with the real timestamps, what the AI drafted, and what a person did. Nothing invented. The customer's name is changed in the text and covered in the screenshots, and her addresses are left out.

How to read this

The AI drafts. A person decides and sends.

Every text and email below was drafted by Claude from the customer's messages, her photos and our rates, then read by Liam and sent from our Quo line or our email. The calendar briefing the crew worked from was written the same way. The rate, the crew and the decision to send were human. Each step is tagged so you can see which is which.

  • AI draftedClaude wrote the first version from the thread, the photos and our pricing.
  • PersonLiam read it, changed what needed changing, and sent it. Or made the call the AI cannot make.
  • CustomerHer side, as she sent it. Name changed to Anna.
  • A Hercules mover, back to the camera, at the open door of a truck packed tight with boxes and wrapped furnitureWhat the thread below is for: a loaded truck on the day.
  • A Hercules mover carrying a bookshelf out of a storage unit full of furnitureStorage loads get the same thread: quote, deposit, day-of texts.
  • A Hercules mover standing in a loaded moving truckDay of. The messages stop and the work starts.

Hi Anna, this is Liam from Hercules Moving Heroes. We'd love to help you with your move! First question I have for you: are there any stairs at either the pickup or dropoff residences? If so, how many flights?

Thirteen minutes after the form. One question. Stairs decide the crew and the hours, so it is always first.

  4. 2:24 PMText

    Anna

Hi Liam, yes, one flight at pickup and two flights at drop off. The one flight at the pick up is to the bedroom.

Thanks Anna! For a one bedroom from Kingston to Hudson with the stairs at both ends, we'd have this at 2 movers at $200/hr. Most moves like this run about 5 hours total, so roughly $1,000 all in. That includes the truck, wrapping, and all equipment, no hidden fees. We are fully licensed & insured in the rare case of item damage or crew injuries. If you'd like, you can text over a few photos of your rooms and furniture and we can tighten that up, or even lock you into a flat rate so there's no guessing. Either way, August 28 is open on our end.

A number inside thirty minutes of the form. The rate is ours, the AI put it in our words. Notice what it asks for next: photos.

The text thread: Liam quotes two movers at $200 an hour, about five hours, roughly $1,000 all in, truck, wrapping and equipment included, and offers to tighten it with photos or lock a flat rate. Her reply: sounds good, I will text some photos. Her name is covered.
The same text on the phone. Her name is covered; the words are as sent.

Hi Liam, I hope it's not too late to send these, but here are some photos. The mattress will not be going.

The photos went into Claude with the thread. It read the rooms, listed the furniture, and flagged two things nobody had asked yet: the refrigerator, and whether the small stuff was going to be boxed.

Hi Anna, good morning! Two quick questions: is the fridge going or staying? Also, will you pack the smaller items into boxes or are you interested in packing services as well?

Two questions in one text, which is exactly what the script tells you not to do. She answered both. Customers do not always. We are showing it because it happened.

    Anna

Hi! Fridge is not going. I was planning on packing the smaller items but do have a couple pictures that could use packing.

Thanks for the photos Anna, super helpful! You have two options. Option 1 is hourly: 2 movers at $200/hr, portal to portal, which for your move we estimate at about 4-6 hours. Option 2 is a flat rate of $1,200, locked in no matter what. Both include the truck, wrapping, all equipment, and packing your framed pictures for protection in transit. We are fully licensed & insured in the rare case of any damages or injury. Let me know which option sounds better for you and I'll get you on our schedule for the 28th.

Flat or hourly, her choice. The flat number is the hourly estimate at the top of the range, rounded up. If she takes the flat and the job runs short, we win. If she takes hourly and it runs short, she wins. Either way the yes comes fast, because the customer is choosing, not being told. The rule for when a job qualifies for both.

Crew briefing, on the calendar invite the movers see

Pickup: Kingston. Black door next to the driveway. One flight of stairs up to the bedroom level.
Drop-off: Hudson. Two flights, no elevator, everything goes UP.
Job: one bedroom apartment/cottage. Not going: mattress and refrigerator. Packing: client is boxing the small items herself. Our crew packs and protects a few framed pictures.
Crew/rate: 2 movers at $200/hr, portal to portal. Estimated 4 to 6 hours. Client chose hourly over the $1,200 flat on Aug 6.
Timing: 9:00 AM depart to approx 4:00 PM return. On-site arrival 9:30 AM. About 30 min out, 15 to 20 back.
Deposit: $100, applied to final balance. Balance due on completion.
Parking: tight commercial block. Client asked to hold a spot. If there is no legal parking the clock runs while the crew hunts.
Open items: 1. Confirm 9:30 AM arrival with client. 2. Crew not yet assigned on this invite. 3. Contract template shows a 2-hour minimum; recent quotes have used a 3-hour minimum. Reconcile before the day. 4. Verify the 4 to 6 hour estimate is understood as travel-inclusive.

This is the document the crew reads at 8:45 AM. Every fact in it came from the thread. Look at open item 3: the AI noticed our agreement template said a two-hour minimum while our quotes say three, and told us to fix it. That is not a typo it made. It is a mismatch it caught.

Invoice out before 7:30 the morning after. The AI wrote it from the hours and the agreement. A person checked the hours and hit send.

The tally

What the AI did on this job.

  • Read the form and drafted the first question. Inside thirteen minutes, in our voice, with our rule that stairs come first.
  • Read eight photos and turned them into a furniture list, a time estimate, and two questions nobody had asked.
  • Wrote the customer messages that mattered. Five texts, the agreement email and the invoice, each one read and sent by a person. The two one-line emails in between, Liam typed himself.
  • Filled the agreement from the thread so the customer signed and typed nothing else.
  • Wrote the crew briefing and caught a mismatch in our own template while doing it.
  • Drafted the invoice from the hours and the agreement, the morning after.

And what it did not

What a person did.

  • Set the rate. $200 an hour and the $1,200 flat are our numbers, from the math, not the AI's.
  • Read every draft before it went out. The AI does not send. It never has.
  • Assigned the crew, drove the truck, carried the couch.
  • Asked for the review at the truck. The AI can write the follow-up. It cannot stand in the doorway.

Total time a person spent on this job's paperwork, from the form to the invoice: well under an hour, spread across four weeks, most of it reading. That is the difference between running a job and running a company.

Three things to take from it

What this job teaches.

Speed is the sale

She had a price thirty minutes after filling out a form. Most movers take a day. By the time the second company called her back, she had already texted us photos. Nothing on this page is clever. It is fast, and fast is what an AI-drafted reply makes possible without you sitting by the phone.

Photos, then the number

The first estimate was $1,000. After the photos it became "4 to 6 hours, or $1,200 flat." The photos did not change the rate. They let us say the number with confidence, and confidence is what a customer hears. Ask for photos on every job that is more than a single item.

Hourly won, and that is fine

She took hourly and paid $900. The flat would have paid $1,200. We left $300 on the table and got a two-minute yes, a five-star review and a customer who felt she chose. Read the flat versus hourly rule and decide on purpose, not by default.

This is what we teach you to set up.

The prompts, the templates, the rules the AI follows and the checks a person makes before anything goes out. It runs through Moving Company in a Month, the course, which opens November 3. If you want to see it running on your own numbers before then, that is the call.
